File Management Systems

Research studies have shown that employees spend approximately 20% of their time searching for information. That's an entire work day per week! With the transition to digital data storage, it's more important than ever to develop a clear, comprehensive, and secure filing system for both digital and paper files that will safely preserve your organization's most important documents while eliminating unnecessary confusion and duplication. With over five years of experience helping small businesses, nonprofits, and churches rebuild their filing systems, in addition to two years working as an assistant archivist at Columbia University Libraries, I can guide your organization through a comprehensive 3-stage process that will boost productivity for years to come and enable an easy transfer of knowledge between former staff members and new employees.

Stage 1: Digital File Management

Local hard drives vs cloud-based systems

Accessibility and security needs

Create a customized filing structure

Stage 2: Email & Task Management

Best practices for managing daily emails

Email folder system to correlate with digital files

Streamline daily & weekly task procedures

Stage 3: Paper Management & Archives

Learn what to keep, scan, recycle, and shred

Discuss short-term vs. long-term storage

Reconstruct & index new filing system

ACS Church Database Customization

ACS or "Automated Church Systems" (or PDS or "Parish Data System") is a comprehensive database and accounting software that allows churches and church-related non-profit organizations to securely and efficiently store and retrieve data about their members and others in their community networks. The program can store membership data, family information, history of involvement, financial records, necrology reports, classes and small groups, mailing lists and labels, and can even allow members to opt-in for access to an updated church directory online.

Many churches have already purchased the ACS database system but are not utilizing its fullest potential. Since each church is unique, this highly customizable database system requires a comprehensive analysis of your church's staff roles, organizational structure, daily workflow, pastoral goals, and security needs, in order to determine what kinds of customized search fields and reports are needed. Data entry standards unique to your church also need to be defined in order to avoid duplicates and ensure that your database yields the most accurate search results.

Let me help your church staff get the most out of this powerful church software system!
